The role

The Executive Assistant to eBay’s VP of Buyer Experience will partner and manage strategic support in a fast-paced and growing company. This Executive Assistant will need to be an energetic and proactive individual who will also act as an extension of the Chief of Staff. This dynamic position requires the ability to anticipate needs as well as offer solutions while maintaining a high level of professionalism and confidentiality.

Key responsibilities:

  • Manage leader’s internal and external calendars, using insight, decision making, and prioritization skills.

  • Prepare and manage confidential information, maintaining good practice with integrity.

  • Plan and manage logistics for events such as offsites, site visits, Buyer All Hands and executive team events.

  • Partner with Executive Admin colleagues and the Chief of Staff on special projects, events and initiatives.

  • Coordinate all travel arrangements and accommodations for the leader, arranging complex and detailed domestic and international travel plans, itineraries and agendas.

  • Create and submit expense reports and compiling receipts for reimbursement.

  • Support the leader in meetings, managing any action items that follow.

  • Serve as the primary point of contact for internal and external partners on all matters pertaining to this leader, including those of a highly confidential, personal, or critical nature.

  • Partner with the Communications team to plan and execute key messages.

  • Manage leadership communication to the broader organization for team newsletters, company wide updates, and feedback surveys for events. 

  • Maintain and communicate the leadership team’s calendar (Offsites, ELT meetings, PTO, etc) during weekly LT staff meetings.

Job requirements:

  • Demonstrated executive suite experience and exposure.

  • Exceptional verbal/written communication and project management skills, including an ability to communicate effectively at an executive level

  • Ability to prioritize and manage work and trade-offs against critical project timelines in a fast-paced environment

  • An eye for detail, is organized, and can manage multiple tasks simultaneously

  • Must demonstrate a sense of urgency and ownership to drive issues and tasks to completion.

  • Strong Technical skills: proficient in MS Office including Excel, PowerPoint and Outlook

  • Ability to handle confidential information with subtlety and tact.

  • Extremely organized with exceptional follow through

  • Ability to create and maintain trusting effective relationships

  • Ability to work with multiple stakeholders at all levels

  • Ability to collaborate with EA peer set to coordinate multiple complex scheduling scenarios.
